Executive Assistant — The Circle

-We’re looking for a proactive Executive Assistant who thrives in a fast-paced environment, balancing operational excellence with creative organization. This role is the heartbeat between management, staff, and partners — ensuring the club runs smoothly behind the scenes.
Role Overview
-The Executive Assistant will support the ownership and management team by handling administrative, operational, and communication duties. The ideal candidate is resourceful, detail-oriented, and passionate about music, hospitality, and live events. -This position requires a high level of discretion, professionalism, and the ability to multitask across day-to-day club operations and high-priority projects.
Key Responsibilities
-Administrative & Executive Support
-Manage scheduling, meetings, and calendar coordination for ownership and management.
-Handle confidential information with discretion and professionalism.
-Prepare reports, documents, and correspondence as needed.
-Organize and maintain digital files, contracts, and invoices.
Operational Coordination
-Support management with staff scheduling, vendor coordination, and nightly event logistics.
-Communicate across departments (bar, door, production, marketing) to ensure alignment.
-Assist in tracking payroll submissions, staff hours, and operational expenses.
-Support with weekly reporting and management recap documentation.
Event & Marketing Support
-Assist in coordinating guest lists, VIP reservations, and artist hospitality details.
-Communicate with promoters, agents, and internal marketing team on deliverables.
-Help ensure creative, social, and promotional materials meet deadlines.
-Maintain internal event calendars and recap files for future planning.
Communication & Client Relations
-Act as a professional point of contact for artists, talent managers, and VIP clients.
-Draft emails, announcements, and internal communications as needed.
-Coordinate with security and staff to manage high-profile guest arrivals or event needs.
Qualifications
-2+ years experience as an Executive Assistant, Administrative Coordinator, or Operations Assistant (hospitality or entertainment preferred).
-Excellent written and verbal communication skills.
-Strong organizational and multitasking abilities.
-Proficiency with Google Workspace, Excel/Sheets, and project management tools (e.g., Notion, ClickUp, Asana).
-Availability for nights, weekends, and special events.
-Professional demeanor with the ability to adapt to high-pressure situations.
-Passion for nightlife, music, and entertainment culture.
Preferred Skills
-Experience in nightlife, event production, or hospitality management.
-Familiarity with artist relations or talent booking workflows.
Bilingual (English/Spanish) is a plus.
