About the Role:
Human Horse Races is a fast growing immersive arts and community event entering its 7th year. We’re looking for an experienced Sponsorship Coordinator who is comfortable doing real outreach, building relationships, closing deals, and keeping the sponsorship process organized from first contact through final payment.
This is a high impact role. You’ll be responsible for both generating new leads and bringing them across the finish line. We’re looking for someone who can move quickly, stay organized, and produce measurable results.
This is a contract position with flexible hours. Applicants must clearly outline weekly or monthly availability and be willing to track their time.
What You’ll Do:
-Sponsorship Outreach
-Build targeted lists of aligned sponsors
-Send outreach emails, make calls, and follow up consistently
-Add new prospects to the pipeline weekly
-Schedule meetings and move leads forward
-Maintain an active pipeline with notes and next steps
-Closing & Contracts
-Draft sponsorship agreements
-Secure signatures and finalize terms
-Ensure sponsor payments are received promptly once an agreement is reached
-Log payments and update internal documents
Relationship Management:
-Serve as primary point of contact for all sponsors
-Collect logos, ads, and assets
-Ensure sponsor benefits are delivered on time
-Strengthen returning and long term partnerships
Strategy and Materials:
-Refine sponsorship deck, tiers, and deliverables
-Suggest activation ideas for sponsors during events
-Support development of year round sponsorship opportunities
Tracking and Admin:
-Keep a simple CRM or spreadsheet updated
-Send weekly updates on outreach activity and pipeline progress
-Track all working hours accurately
Event Support:
-Identify sponsor placement or activation opportunities
-Assist with sponsor visibility at seasonal events
Performance Benchmarks:
These benchmarks help keep the outreach process focused and make sure the season stays on track.
First 30 Days:
Secure $1,500–$2,000 in fiscal sponsorships
First 60 Days:
Secure $5,000–$10,000 in fiscal sponsorships
Season Goal:
Total sponsorship revenue of $35,000–$50,000
These goals are based on the size of the event and realistic conversion rates.
Qualifications:
-Experience with sponsorships, fundraising, sales, or business development
-Comfortable closing deals and coordinating payment
-Strong communication and follow up skills
-Organized, reliable, and able to manage an active pipeline
-Experience in arts, festivals, cultural events, or nonprofits is a plus
-Having an existing roster of business contacts to begin outreach, that aligns with our event, is a strong plus
-Able to work toward monthly benchmarks and revenue goals
-Self directed with consistent reporting habits
Compensation:
This is a retainer + commission contract role.
