About the Role
We are looking for a reliable, efficient, and self-sufficient Office Manager & Bookkeeping Specialist to support our multi-brand entertainment and fulfillment companies. This role is ideal for someone who thrives in a dynamic environment, takes initiative, solves problems with confidence, and keeps operations running smoothly without constant supervision.
You’ll handle daily office operations, incoming customer communication, event preparation, shipping tasks, and essential bookkeeping duties across several small but fast-growing businesses.
Responsibilities
Office & Administrative:
- Answer phone calls, return messages, and follow up with leads
- Manage customer emails and update CRM daily
- Schedule events and appointments when needed
- Maintain calendars and coordinate weekly logistics
- Sign for packages, handle mail, and deliver shipments to the post office and UPS
- Keep the office organized and well-supplied
- Prepare vehicles and equipment for weekend shows (pulling props, coordinating loading vans)
- Update and create standard operating procedures (SOP)
Bookkeeping & Financial:
- Manage accounts payable and accounts receivable
- Reconcile transactions across multiple business accounts
- Track inventory purchasing and supply costs
- Maintain spreadsheets and financial records
- Prepare weekly and monthly financial summaries
- Work with an accountant when necessary
- Ensure accurate record-keeping for tax purposes
Production, Shipping & Fulfillment (Light):
- Assist with packing orders.
- Help prepare inventory and merchandise
- Quality control: ensure accuracy and consistency of outgoing orders
Problem Solving & Critical Thinking:
- Troubleshoot issues independently
- Make confident decisions once trained
- Identify inefficiencies and suggest improvements
- Keep operations flowing without needing constant supervision
What We’re Looking For
- Highly reliable — consistent attendance is essential
- Strong critical-thinking and problem-solving skills
- Self-sufficient and proactive after training
- Efficient and organized with excellent attention to detail
- Experience in bookkeeping and small-business financial management
- Comfortable wearing multiple hats in a creative, fast-moving environment
- Strong communication skills
- Ability to lift and load light equipment
- Previous admin or small-business operations experience preferred
- Any experience with bookkeeping preferred
Hours & Pay
- Approximately 30 hours per week
- One longer day (typically Thursday) preferred
- Starting pay: $18–$22/hr, depending on experience
- Goal pay: $26–$27/hr after training and competency
- 30-day trial period followed by a 90-day evaluation
Training Period
- Expect 10–15 hours per week of guided training during the first month
- Training includes CRM systems, phones, show prep, bookkeeping systems, and fulfillment workflows
- Goal: smooth transition to independent decision-making
