A fast-paced staffing agency is seeking a highly detail-oriented and analytical Operations Assistant to support weekly payroll processing, invoicing, and client billing operations. The ideal candidate has strong computer proficiency, solid accounting knowledge, and the ability to quickly master new software systems. This role plays a critical part in ensuring payroll accuracy, timely invoicing, and a smooth billing cycle for both clients and employees.

Key Responsibilities

Process and verify weekly employee timesheets for accuracy and completeness.

Prepare and send client invoices in accordance with contractual terms.

Reconcile payroll and billing data across multiple systems to ensure accuracy.

Maintain payroll records and documentation in compliance with agency policies.

Coordinate with recruiting and account management teams to resolve payroll or billing discrepancies.

Assist with general accounting duties, including journal entries and account reconciliations.

Analyze issues and propose process improvements that enhance billing and payroll efficiency.

Support audits and maintain high standards of data confidentiality and accuracy.

Qualifications

Associate’s or Bachelor’s degree in Accounting, Business Administration, or related field preferred.

2+ years of payroll, billing, or accounting experience, ideally within a staffing or service-based environment.

Exceptional attention to detail and accuracy.

Strong computer literacy, including advanced Excel skills; ability to learn new software programs quickly.

Working knowledge of basic accounting principles and general ledger systems.

Excellent problem-solving skills and an ability to analyze issues from both detailed and big-picture perspectives.

Strong organizational skills, with the ability to manage multiple priorities in a deadline-driven environment.

Preferred Skills

Experience with payroll and accounting software such as QuickBooks, Bullhorn, ADP, or similar.

Familiarity with timekeeping systems and staffing industry billing processes.
