Full-Time House Manager & Executive Family Assistant (with Occasional Travel)

Compensation: Base salary of $75,000. Additional compensation may be available through seasonal, travel, and performance-based bonuses

Tech-Savvy: Experience with managing emails, calendars, Trello, Notion, or similar tools
Proposed Schedule:
Monday through Friday, 8 AM - 4 PM (flexibility for off-site tasks as needed). Occasional weekend work or travel may be required during peak times (e.g., events or seasonal demands).
About Our Family:
We are a dynamic, entrepreneurial family of four with two children (ages 10 and 8). We are managing multiple businesses, including one that is nationwide with more than 200 employees. We travel frequently during four months of the year, often with our children. Outside of that our children attend school with a hybrid schedule.
Between the two of us, we wear many hats – but are running out of hands to get it all done. We're looking for a reliable Household Manager and Executive Family Assistant who can streamline our household operations, organize our space, and assist with administrative tasks, so we can focus on growing our businesses and maximizing family time.

This role combines household management with a mix of family and business assistance, so the emphasis will be on anticipating needs and managing busy schedules. The ideal candidate will be hands-on, tech-savvy, and a self-starter who can easily adapt to the dynamic nature of the family’s lifestyle.
Role Overview:
The Household Manager & Executive Family Assistant is integral to ensuring the smooth functioning of our home and business operations. This role blends household organization, administrative support, light childcare backup, travel assistance, and systems management.
Our ideal candidate will be a self-starter with a proactive attitude and an eagle eye for detail, someone who doesn’t need constant direction but knows exactly what needs to be done. Key Responsibilities:
Household Management & Organization
Create and maintain household organization systems for closets, storage, pantry, seasonal items, and toys.
Reset and tidy rooms daily, ensuring the home is prepped for cleaning services 1–2x per week.
Oversee household schedules and calendars to ensure all activities and events run smoothly.
Conduct seasonal swaps (clothing, kids’ sizing changes, décor, bedding).
Support packing/unpacking for travel or seasonal transitions, ensuring that all necessities are packed and organized.
Vet, coordinate and supervise service providers/vendors (e.g., cleaners, landscapers, handymen).
Light household tasks: Loading/unloading dishwasher, wiping surfaces, and vacuuming high-traffic areas.
Maintain indoor plants and ensure their well-being.
Inventory Management & Errands
Track and restock pantry, fridge, toiletries, and household supplies, ensuring everything is always in place, particularly learning dad’s specific preferences for stocking the fridge.
Create and manage running household supply lists, making sure essentials are always available.
Coordinate and manage household orders (Amazon, Costco, Target) for necessary supplies.
Run errands: Grocery shopping, returns, dry cleaning, and gift shopping.
Handle package pickups, mail sorting, and deliveries.
Meal Planning & Preparation
Pack school lunches once a week (Wednesdays) for the kids.
Open to prepping bulk proteins & veggies for mom’s gluten-free, high-protein diet.
Clean kitchen and manage kitchen tidiness, ensuring the space remains organized and easy to work in.
Laundry & Linen Care
Wash, dry, fold, and organize family laundry (e.g., clothing, bedding, towels).
Learning specific preferences for laundry as needed.
Iron, steam, and prepare outfits as needed.
Manage linens: Refresh towels, restock essentials, and rotate bedding.
Maintain laundry areas and ensure supplies are stocked.
Vehicle Management
Schedule and oversee vehicle maintenance, including oil changes and inspections.
Ensure vehicles are fueled, cleaned, and organized with necessary supplies (snacks, wipes, hand sanitizer).
Track registration, insurance, and service schedules for family vehicles.
Vendor & Property Oversight
Schedule and supervise service providers for home maintenance tasks (cleaners, contractors, landscapers).
Conduct thoughtful research and coordinate reputable repairs, maintenance, and quotes, ensuring vendors meet standards and are also within budget.
Install or oversee installation of seasonal items (e.g., Christmas lights, outdoor decorations).
Help manage routine upkeep across multiple properties (including future fourplex/duplex plans).
Oversee outdoor spaces and seasonal maintenance needs.
Serve as primary contact for vendors, handling any issues or concerns.
Oversee property-specific systems (e.g., HVAC, security, maintenance, etc.)
Conduct walk-throughs to ensure upkeep, safety, and organization
Family Support & Child Assistance
Light supervision or back-up childcare, particularly on Mondays and Fridays.
Prep backpacks, clothing, or snacks for school to streamline morning routines.
Help with child-related laundry or errands, ensuring children’s needs are met.
Occasional date-night supervision
Open to traveling with the family: 3-4 trips per year, lasting 7-10 days each.
Deep Cleaning & Special Projects
Maintain and refresh specific zones in the home (e.g., entryways, garage, mudroom).
Clean and maintain appliances such as humidifiers, washing machines, and air purifiers.
Organize special projects, such as toy storage, seasonal décor, and gear rotation.
Administrative & Personal Assistant Support
Manage family calendars and reminders, ensuring that appointments and deadlines are never missed. Be detail-oriented and double-check all information, including keeping an awareness for proximity and timing when it comes to scheduling.
Manage parents’ schedules: Specifically providing dad with daily briefings and reminders.
Assist with coordinating events, appointments, and guest preparations, making sure everything is organized and on schedule.
Help with coordinating child appointments, ensuring everything is arranged for school, general health and extracurricular activities.
